Sponsorship Definition & Term

“Sponsorship” refers to the exchange of funds, goods, or services for advertising, recognition, or other promotional consideration at KantCon.​

KantCon reserves the right to determine the placement and timing of all sponsor materials, logos, and advertisements. While every effort will be made to honor requested placements, specific locations or visibility cannot be guaranteed.

In the event that KantCon is postponed, relocated, or canceled due to circumstances beyond our control (including but not limited to weather, natural disasters, venue restrictions, or public health emergencies), sponsorship benefits may be modified, rescheduled, or transferred to a future event at KantCon’s discretion.

KantCon is not responsible for loss, theft, or damage to any Sponsor property or materials. Sponsors agree to hold harmless and indemnify KantCon, its officers, volunteers, and venue partners from any claims, damages, or expenses arising out of participation in the event.

​Each sponsorship term runs from the beginning of pre-registration through the start of the next pre-registration period.

The 2026 sponsorship term runs from February 1, 2026, through January 31, 2027.

Product Credit Policy
-
If you would like to use a retail product as part of a credit for sponsorship or advertising, up to the first 50% of the package cost can be offset at a 2:1 rate. For example if you donate $100 of retail product, it counts as $50 for your credit.

Any product credit after the first 50% will be offset at a 3:1 rate.

Any merchandise being used as funding for sponsorship of KantCon will be requested to be delivered to our address by July 1st. This will allow us to properly organize, inventory, and safely arrange transport to the convention.

Note: To support our operational budget, at least 50% of any purchased add-on must be paid in cash (the remainder may be covered by donated product).

All official sponsorship communications will be conducted via the email address provided in your application form unless otherwise agreed.

You will receive confirmation for follow-up within five (5) Business days (holidays excluded). If you have not heard back within that time, please send an email to sponsors@kantcon.com or contact@kantcon.com

Invoice Payment
-
All payments are due by June 1st in order for adequate processing time.

Nothing will be added to our website until the invoice is paid.

Refund Policy
-
Payment will be collected by June 1st. Refund schedule:

Before May 15th - 95%
-
May 15th - June 1st - 75%
-
June 2nd - June 15th - 50%
-
June 16th - June 25th - 25%.

On day of convention, no refunds will be issued.

Any refund requested will result in removal of logo from website and other materials.​

Paragraph and Logo for the website

In order to adequately advertise our sponsors, we would like to include a small description of your company. This can range be up to 250 characters. We would also like to include a logo for organization and visual recognition.

We would request this be provided within 5 business days of application along with your official URL for either your website or social media page.​

Additional Exhibitor benefit

A sponsorship at any level will guarantee notification for Early Access to the Exhibitor form for the current year if applicable as well as the following year.​

Digital Book and Attendee bag Advertisements

All ads must be received by May 15th.

Full Page – 8.5” x 11”

Please note, if we do not receive your printed ad by the deadline, it will not be included in attendee bags. Digital ads that are late will be appended to the back of the book.

Special Zealot Deadlines
-
To receive a Banner onsite, digital files and payment must be received by June 1st.

To get a logo on our T-shirt, sponsorship must be paid for by May 10th.

To get a logo on the badge, digital files and payment must be received by June 20th.​
